DIAGNOSTIC PLAYBOOK

Email fails at one provider but works elsewhere

Provider-specific delivery failures need a segmented investigation. A successful message at one destination does not rule out authentication, policy or reputation conditions evaluated differently elsewhere.

How to investigate

  1. Group outcomes by actual receiving provider and preserve the failed provider's response text.
  2. Compare equivalent messages, sending IPs and authentication results rather than unrelated campaigns.
  3. Follow the affected provider's documented remediation and retest a controlled recipient there.

What this looks like

ILLUSTRATIVE EXAMPLE

A stream reaches one mailbox service but receives rate-related deferrals at another. Combining both into an overall success rate hides the affected segment.

A mistake to avoid

Do not infer a universal outage or a permanent domain penalty from a small set of provider-specific failures.

Keep the result in context

A successful handoff, a delivered event and an inbox placement are different observations. Record the receiving provider, send time, SMTP response and affected stream before comparing results. DNS fixes address authentication or routing; they cannot establish consent or guarantee placement.

Take the next step

Use the related check to gather evidence, then compare it with the affected message or service. Keep the result and time with your notes so a later change can be distinguished from the original problem.
